Onboarding Wizard & Asset Library

CareLaunch includes a guided, self-serve setup experience that walks you through everything needed to take your practice live, plus a central library for the logos, documents, and images your practice uses. This page covers the onboarding wizard, the Launch Practice checklist, and the media asset library.

The Onboarding Wizard

The onboarding wizard is a step-by-step setup flow that collects your practice details and turns them into a working, patient-ready portal.

How it launches

  • Automatically on first login. New organizations are taken straight to the wizard the first time an admin signs in, before landing on the dashboard.
  • Relaunch anytime. You can reopen the wizard later from your practice's Customize page — use the overflow (⋮) menu and choose Launch Setup Wizard.

You can move through the steps in order, jump between them from the progress rail, or Skip any step and come back to it later. Nothing is lost — the wizard pre-fills each step from data you've already saved, so reopening it reflects your current setup.

What the wizard walks you through

  1. Import from your website (optional). Paste your existing practice website and the wizard scans it to pre-fill your practice name, branding, services, and provider details. It can also surface agreement and intake-form PDFs found on your site so you can optionally add them to your asset library for review. No website? Skip this step and set everything up by hand.
  2. Practice & branding. Your practice name, phone, address, timezone, logo (paste a URL or upload an image), and primary brand color.
  3. Provider profile. The provider's name, specialty, NPI, and a patient-facing bio.
  4. Availability. Weekly working hours that determine when patients can book.
  5. Services. The appointment/service types patients can book, each with a name and duration.
  6. Landing page. Generate a patient-facing landing page — either recreated from your existing website or designed fresh from your practice details. You can fine-tune it later in the visual landing page editor.
  7. Security. Set up multi-factor authentication (an authenticator app) for your account.
  8. Portal URL. Claim the web address patients will use to reach your portal (for example, your-practice.launch.care). This step is optional — skip it to keep your auto-assigned address and choose one later in Settings.

When you finish, the wizard confirms your practice is live and links you to your dashboard. If the site import added any logos or documents to your asset library, you'll also get a shortcut to review them.

Branding, availability, services, and everything else set here can be edited anytime from Settings after you complete the wizard.

The Launch Practice Checklist

Once you're in the dashboard, the Launch your practice checklist keeps your go-live progress front and center. It tracks the steps that need to be complete before you can start seeing patients:

  • Practice profile — save a logo on the patient-facing practice instance. A primary brand color and website import are optional.
  • Web address — the address patients visit (claim a free .launch.care address or connect a domain you own)
  • Registration workflow — the steps patients complete when they register
  • Appointment booking — provider availability for scheduling
  • Payments — the product patients pay for during registration (this step can be skipped for now)

A progress ring shows how far along you are. When every required step is done, the checklist unlocks your patient registration link and the Launch Center, where you can copy your registration URL, review your web address, and grab an embed snippet to add registration to your own website.

The Media Asset Library

The asset library (Assets in the main navigation) is a central place to store and organize the images and documents your practice uses — logos, patient forms, email-template images, landing-page assets, and more. It's available to organization and platform administrators.

Organizing assets

Assets are grouped into collections so each type stays easy to find:

  • Brand
  • Email templates
  • Landing pages
  • Patient forms
  • Partner logos
  • Photography

A left-hand navigation also offers quick filters for All assets, Recent, and Starred, and you can filter by file type (images or documents), search by name, and toggle a Pending review view. Star the assets you reach for most to keep them close.

Uploading assets

Uploading supports drag-and-drop for a smoother experience:

  • Upload a single file — drag a file onto the upload area (or click to browse), then add optional alt text, a caption, and a collection.
  • Upload many — drag in multiple files at once for a bulk upload, with per-file progress.

Images, PDFs, and common document types are supported.

Using and managing assets

Select any asset to open a preview pane with its details and management actions:

  • Copy an embed — grab the asset's link as a plain URL, an HTML <img> tag, or Markdown, ready to paste into the email composer or elsewhere.
  • Assign a collection to keep things organized.
  • Star frequently used assets, publish items that are pending review, copy the URL, or delete assets you no longer need.

Assets from onboarding

Logos and documents pulled in during the wizard's website-import step land in the asset library marked Pending review. They stay out of patient-facing views until you publish them, so you can confirm each one is current and appropriate before it goes live.
