Appointment Scheduling
CareLaunch provides a comprehensive appointment scheduling system that connects patients with providers. The system supports multiple calendar views, appointment management, and integrates with provider availability and healthcare services.
Overview
The scheduling system includes:
- Patient Scheduling Interface: Book appointments during registration or from the portal
- Provider Schedule Management: Configure availability, breaks, and out-of-office periods
- Appointment Dashboard: View and manage all appointments
- Calendar Views: Month, week, day, and table views
- Rescheduling and Cancellation: Policy-based appointment changes
- Workflow-Specific Controls: Configure booking windows, view modes, default participants, and payment requirements per registration workflow
Patient Booking Experience
Finding Available Appointments
Patients can book appointments through:
- During Registration: Optional scheduling step in the registration workflow
- Patient Portal: Book new appointments anytime
- Rescheduling: Change existing appointment times
Registration-driven scheduling uses the workflow builder controls documented in Managing Patient Registration. Each workflow can set its own calendar view mode, booking window, participant rules, and payment requirements while still inheriting organization-wide scheduling guardrails.
Booking Flow
- Select Service: Choose the type of appointment needed
- Choose Provider (Optional): Select a specific provider or see all available
- Pick Date and Time: View available slots in calendar format
- Confirm Booking: Review details and submit
Calendar Views
Patients see availability in multiple formats:

Provider Load Balancing
When patients don't select a specific provider, the system automatically distributes appointments across available providers to balance workloads. This helps prevent provider burnout and ensures patients are distributed evenly across available staff.
Load Balancing Strategies
The platform supports multiple load balancing strategies:

Configuring Load Balancing
- Navigate to Settings > Scheduling
- Select the Provider Load Balancing tab
- Choose your default strategy
- Optionally configure:
- Service-specific strategies: Override the default strategy for specific service types
- Assignment window: Time window for counting assignments (default: 24 hours)
- Maximum assignments per day: Limit appointments per provider per day
- Provider weights: Relative weights for weighted distribution
Default Participants
- Configure default participants per workflow from Settings > Registration > Appointment > Configure Options.
- Selected practitioners are automatically added to every appointment created via that workflow with
acceptedstatus so care teams never get dropped. - Combine defaults with provider load balancing—if no defaults are specified, the upgraded load-balancer selects practitioners that match the workflow's filters (service, role, location).
Appointment Types
Appointments are categorized by status. New appointments are Booked by default the moment a patient or staff member completes a booking — there is no separate provider-approval step unless your organization has configured payment-required scheduling.

| Cancelled | Appointment cancelled by patient, staff, or an automatic trigger (e.g. expired payment session) |

Managing Appointments
For Patients
From the Patient Portal, patients can:
- View Upcoming: See all scheduled appointments
- View Past: Review appointment history
- Reschedule: Change appointment time (policy permitting)
- Cancel: Cancel appointments (policy permitting)
- View Details: See appointment information and preparation instructions
For Staff
The Appointment Dashboard provides:
- Calendar Overview: All appointments across providers
- Filtering: By provider, service type, status, or date range
- Quick Actions: Confirm, reschedule, or cancel appointments
- Patient Information: Access patient details from appointment view
Appointment Confirmation
Confirmation is separate from an appointment's status — confirming an appointment does not change its status (a confirmed appointment is still "Booked"). Today, an admin can confirm an appointment on the patient's behalf from the appointment view; patients don't yet have a self-service way to confirm from the portal. If your organization requires confirmation and a patient doesn't respond in time, you can optionally configure the appointment to be automatically cancelled — see Appointment Statuses Explained.
Configuration & Administration
Global Scheduling Settings
- Access the upgraded settings page via Settings > Scheduling.
- General tab: Set appointment duration defaults, buffers, advance booking limits, same-day prevention, and virtual visit preferences.
- Notifications tab: Configure reminder retries, late/no-show automation, and cancellation policies with minimum notice windows.
- Provider Load Balancing tab: Define how appointments are distributed when patients do not select a practitioner, including weighting and fallback behavior.
- Healthcare tab: Manage the healthcare services catalog that both the portal and registration workflows reference when presenting service choices.
Workflow-Level Controls
- Within the registration workflow builder, open the appointment step and click Configure Options to tailor the patient experience for that workflow.
- Choose calendar view mode (Standard vs Streamlined), set booking window overrides, require payment before booking, and decide whether patients can select participants.
- Attach pre-appointment forms or custom instructions specific to the workflow and restrict service selection when needed.
Rescheduling
Patient-Initiated Rescheduling
Patients can reschedule appointments through the portal:
- Navigate to the appointment
- Click Reschedule
- Select a new date and time
- Confirm the change
Rescheduling Rules
Configurable policies control rescheduling:
- Minimum Notice: Hours/days required before original appointment
- Maximum Changes: Limit on number of reschedules per appointment
- Compensation Logic: Automatic handling of payment adjustments
- Rollback Support: If rescheduling fails, original appointment is preserved
Staff-Initiated Rescheduling
Staff can reschedule appointments from the dashboard with additional options:
- Override policy restrictions when needed
- Notify patients of changes
- Add internal notes about the reason
Cancellation
Cancellation Policies
Configure cancellation rules per instance or service:
- Cancellation Window: Time before appointment when cancellation is allowed
- Late Cancellation Handling: Fees or restrictions for late cancellations
- No-show Policies: How missed appointments are handled
Cancellation Flow
- Patient or staff initiates cancellation
- System checks cancellation policy
- If permitted, appointment is cancelled
- Patient receives confirmation notification
- Slot becomes available for other patients

Appointment Assignment Notifications
When providers are assigned to an appointment, they are automatically set to "accepted" participant status and receive a notification to view the appointment details.
How It Works
- Assignment: A provider is added to an appointment with "accepted" participant status
- Notification: The provider receives an "Appointment Assigned" notification via their preferred channels (in-app, email, SMS, push)
- Action: Provider can view appointment details directly from the notification
Notification Channels
Providers can receive appointment assignment notifications through:
- In-App: Displayed in the notification bell with a link to view appointment details
- Email: Professional email with appointment details and action links
- SMS: Text message prompting the provider to log in and view details
- Push: Browser push notification for real-time alerts
Managing Preferences
Providers can manage their notification preferences:
- Navigate to Settings > Notifications
- Find "Appointment Confirmation Request" in the notification list
- Enable or disable for each channel
Note: For admin users with no notification preferences configured, appointment assignment notifications are enabled by default.
Calendar Integration
Appointment confirmations include ICS calendar attachments that patients can add to their calendar apps.
Conflict Prevention
The system prevents scheduling conflicts:
- Real-time Validation: Checks availability when booking
- Provider Overlap Detection: Prevents double-booking providers
- Out-of-Office Awareness: Respects blocked periods
- Break Time Protection: Won't book during provider breaks
Conflict Responses
When a conflict is detected:
- Error Response: Clear message explaining the conflict
- Alternative Suggestions: System may suggest nearby available times
- No Slot Holding: Availability is checked at booking time only
Virtual Visits
Appointments can be configured for telehealth:
- Video Integration: Secure video conferencing for virtual visits
- Automatic Links: Meeting links included in confirmations
- Pre-visit Instructions: Guidance for joining virtual appointments

No Available Slots Showing
