Manage Recurring Hours

Manage Recurring Hours sets a provider's recurring weekly schedule for a given role — the hours that repeat every Monday, every Tuesday, and so on. It applies to this provider's role specifically; it is not a shared role template, so changes here affect only this provider. Set it once per role and leave it. For single-day changes, draw a one-time slot on the calendar or use Out of Office.

Role required. The Provider Role dropdown only appears when the provider has at least one role assigned. If no roles appear, assign a role to the provider before configuring their schedule.

When to Use Manage Recurring Hours

Change the recurring schedule only when the permanent weekly pattern changes:

  • Provider shifts from Mon–Wed–Fri to Tue–Thu
  • Hours change from 9 AM–5 PM to 8 AM–6 PM
  • A recurring lunch break is added
  • A provider permanently drops a weekday

Changes saved here apply to every future week until changed again.

Unchecking a weekday removes it permanently from the recurring schedule — not just for one week.

How to Open Manage Recurring Hours

  1. Navigate to Schedule in the sidebar.
  2. Click MANAGE (top-right).
  3. Choose Manage Recurring Hours.

Setting the Recurring Schedule

  1. Select the Provider Role from the dropdown (each role has its own schedule).
  2. Optionally apply a Quick Template: 9–5, 9–5 + Lunch, 8–6, Morning, or Afternoon.
  3. Set the Times in timezone.
  4. For each working day in the Weekly schedule:
    • Check the day to mark it active, or uncheck to remove it from the recurring pattern.
    • Set the start time and end time.
    • Add breaks with + add break (lunch, admin time, etc.).
  5. Set Apply from date. Set Until only if the schedule should end on a specific date — leave empty for ongoing.
  6. Click SAVE CHANGES.

Blocking Days and Time Off

For a day off, vacation, or any multi-day block, use Out of Office — don't edit the recurring schedule:

  1. Click MANAGE (top-right) > Out of Office (or use the Out of Office link inside the Manage Recurring Hours dialog).
  2. Set the Start Date and End Date.
  3. Optionally add a Reason (e.g., "Vacation", "Conference").
  4. Click Set Out of Office.

The recurring schedule stays intact; when the period ends, it resumes automatically. See Managing Provider Availability for full details.

Adding a One-Time Slot

To add availability — or block it — on a single date without changing the recurring schedule, draw it on the calendar:

  1. In the Schedule view, click and drag on the calendar at the day and time you want.
  2. The block appears as Unsaved Availability. Use its toggle to set One-time, Recurring, or Not Available.
  3. Drag the block or its top/bottom edge to fine-tune the time, then click Save.

A one-time slot applies only to its date and overrides the recurring pattern there.

Out of Office always takes priority for its dates, then one-time slots, then Recurring Hours as the default everywhere else.

Frequently Asked Questions

Q: I unchecked Wednesday to take one day off. Now every Wednesday is gone. How do I fix it?
A: Re-check Wednesday, click SAVE CHANGES. Then set Out of Office for the specific Wednesday you wanted to block.

Q: Can I have different hours on different days?
A: Yes. Each day has its own start time, end time, and breaks.

Q: Can I set a schedule that ends on a specific date?
A: Yes. Set the Until date when saving.

Q: A provider has two roles. Do I need to update both?
A: Yes. Each role has its own schedule. Use the Provider Role dropdown to switch between them.

Q: Will saving Recurring Hours affect appointments already on the calendar?
A: Existing booked appointments stay. New appointments follow the updated recurring schedule.
