Reminders
CareLaunch provides a comprehensive reminder system to help care teams stay on top of patient follow-ups, appointment notifications, and task deadlines.
Overview
The Reminders feature allows you to:
- Create custom reminders for patients and appointments
- Track overdue items with priority indicators
- Filter reminders by type, priority, and assignment
- Automate appointment reminders before scheduled visits

Reminder Dashboard
The Reminders page displays key metrics at the top:

| Total | Total number of active reminders |
| Overdue | Reminders past their due date |
| High Priority | Urgent reminders requiring immediate attention |
Reminder Types
Appointment Reminders
Automatic reminders sent to patients before their scheduled appointments. By default:
- Email reminder — 24 hours before (enabled by default)
- SMS reminder — 2 hours before (enabled by default)
- In-app reminder — available but off by default
You can adjust the timing for each channel. Available options are 15 minutes, 30 minutes, 1 hour, 2 hours, 4 hours, 24 hours, 48 hours, or 1 week before the appointment.
These are configured in Settings > Scheduling > Reminders.
Manual Reminders
Staff-created reminders for specific follow-ups:
- Patient callbacks
- Document requests
- Lab result reviews
- Care plan updates
Creating a Reminder
- Click + NEW REMINDER in the top right
- Select the reminder type
- Choose the associated patient (if applicable)
- Set the due date and time
- Add a description
- Set the priority (STAT, ASAP, Urgent, or Routine)
- Click Save
Filtering Reminders
Use the filter options to find specific reminders:
- Search: Find reminders by description or patient name
- Show only my reminders: A checkbox (on by default) that limits the list to reminders assigned to you
- Filter: A dropdown to narrow the list — options include All Reminders, Overdue, High Priority, Patient Care, Lab Results, Medications, Documentation, Appointments, and Administrative
Priority Levels
Reminders use standard clinical priorities:

|---|---|---|
| STAT | Red | Immediate action required |
| Urgent | Red | Urgent patient needs |
| ASAP | Amber | Address as soon as possible (default) |
| Routine | Blue | Standard follow-ups |
Reminder Status
- Pending: Reminder is active and not yet addressed
- Completed: Reminder has been addressed
- Cancelled: Reminder was dismissed
Best Practices
For Organizations
- Set up automatic appointment reminders to reduce no-shows
- Use high priority sparingly for truly urgent items
- Review overdue reminders daily
For Staff
- Check your reminders at the start of each day
- Mark reminders complete as you address them
- Add context in reminder descriptions for colleagues
Integration with Other Features
Reminders integrate with:
- Appointments: Automatic pre-appointment notifications
- Tasks: Reminders can be linked to task completion
- Patients: Patient-specific reminders appear in patient profiles
- Notifications: email, SMS, and in-app delivery options
Troubleshooting
Reminders Not Sending
- Check reminder settings in Settings > Scheduling > Reminders
- Verify patient contact information is correct
- Review notification delivery logs
Missing Reminders
- Check filter settings (ensure "Show only my reminders" is unchecked)
- Verify the date range includes the reminder's due date
- Refresh the page
