Boards

Overview​

Boards provide a kanban-style interface for managing tasks and appointments. Each board displays items organized into columns that represent workflow stages, making it easy to visualize progress and move items through their lifecycle with drag-and-drop interactions.

Board Types​

The platform supports two types of boards:

Task Boards​

Task boards display tasks organized by business status. Each plan you create generates a corresponding task board. Tasks appear in columns based on their current business status, allowing you to track progress across your care workflows.

Appointment Board​

The built-in Appointment board displays appointments organized by status. This provides a visual overview of scheduled, confirmed, and completed appointments.

Accessing Boards​

Boards can be accessed from:

  • Left Sidebar: Click on "Boards" under the Tasks section
  • Dashboard: Click on a plan card to open its board directly
  • Tasks Page: Switch between list and board views

Board Selection​

If you have multiple plans, you can switch between boards using the board selector in the toolbar. The platform remembers your last selected board and returns you to it automatically.

Default Board​

One board can be set as the default by configuring its plan with the "Default" usage setting. This board loads automatically when you navigate to the boards section without a specific board selected.

Using Boards​

Understanding Columns​

Each column on a board represents a business status in your workflow. Tasks appear in the column that matches their current business status. Column headers display the status name and the count of items in that column.

Filtering Tasks​

Boards provide several filtering options to help you find specific tasks:

Filter by Assignee​

Filter tasks by who they're assigned to:

  • Select one or more team members from the assignee dropdown
  • Choose "Unassigned" to see tasks without an owner
  • Clear filters to see all tasks

Filter by Task Type​

If you have multiple task types configured, filter by type to focus on specific categories of work.

Filter by Due Status​

Filter tasks based on their due date:

  • Overdue: Tasks past their due date
  • Due Today: Tasks due today
  • Upcoming: Tasks due in the future

Filter by Instance​

For multi-instance organizations, filter tasks by specific instances.

Drag-and-Drop​

Move tasks between columns by dragging and dropping:

  1. Click and hold a task card
  2. Drag it to the destination column
  3. Release to drop the task

When you drop a task into a new column, the system automatically:

  • Updates the task's business status to match the column
  • Applies any dynamic values configured for that status (such as task status changes)

Tip: You can drag tasks to empty columns. The column will highlight to indicate it can receive the task.

Task Cards​

Each task card displays key information at a glance:

  • Task title: The main identifier for the task
  • Patient name: Who the task is for
  • Assignee: The team member responsible for the task
  • Due date: When the task should be completed
  • Task type: Color-coded indicator of the task category
  • Priority star: Appears if the patient is starred/favorited
  • Subtask progress: Shows completion status if the task has subtasks

Working with Task Cards​

View Task Details​

Click on a task card to open the task detail view where you can:

  • View all task information
  • Add notes
  • Manage subtasks
  • Update properties

Change Assignee​

Click the assignee avatar or name on the card to quickly reassign the task to another team member.

Update Status​

Besides drag-and-drop, you can click the status dropdown on a card to change its business status directly.

Subtasks on Cards​

If a task has subtasks, the card displays:

  • A progress bar showing completion percentage
  • Expandable subtask list (click to expand)
  • Checkboxes to mark subtasks complete directly from the board

Board Configuration​

Boards are configured through Plans. Each plan defines:

Columns (Business Statuses)​

Each action in a plan becomes a column on the board. Configure columns by:

  1. Navigate to Settings > Plans
  2. Edit or create a plan
  3. Add Actions - each action becomes a column
  4. Set the Action Title - this becomes the column name and business status

Column Order​

Columns appear in the order defined in the plan. Arrange your actions in the sequence that represents your workflow progression.

Dynamic Values​

Configure what happens when a task enters a column:

  • Set FHIR task status (in-progress, completed, etc.)
  • Assign to specific roles or practitioners
  • Update priority
  • Set due dates

Column Filters​

Advanced column configuration options include:

  • Hide old items: Automatically hide tasks older than a specified number of days
  • Date filters: Filter by last updated or creation date

Relationship Between Boards, Tasks, and Plans​

Understanding how these components connect:

Plan (Configuration)
└─ Actions → Board Columns

Task (Work Item)
└─ Business Status → Determines column placement
└─ Appears on boards where status matches

Board (Visualization)

Shared Business Statuses​

Business statuses are shared across plans. If two plans have a column with the same business status, a task with that status appears on both boards. This enables:

  • Cross-functional visibility
  • Multiple workflow perspectives on the same tasks
  • Flexible task tracking across teams

Creating Tasks from Boards​

Tasks can be created directly from a board:

  1. Click the "Add Task" button in a column
  2. Fill in task details
  3. The task is automatically assigned the business status of that column

Best Practices​

Design Your Workflow First​

Before creating a plan, map out your care workflow:

  • Identify the key stages tasks move through
  • Define what happens at each stage
  • Determine who is responsible at each stage

Use Descriptive Status Names​

Choose business status names that clearly indicate:

  • What state the task is in
  • What action needs to happen
  • Who might be responsible

Good examples: "Awaiting Lab Results", "Care Manager Review", "Documentation Complete"

Avoid: "Stage 1", "Pending", "Done" (too generic)

Leverage Dynamic Values​

Configure dynamic values to automate status updates:

  • Set FHIR status to "in-progress" when work begins
  • Set to "completed" when the final column is reached
  • Auto-assign tasks when they enter specific stages

Regular Board Reviews​

Use boards for team standups and reviews:

  • Review items in each column
  • Identify bottlenecks (columns with many items)
  • Ensure tasks are progressing through the workflow

Troubleshooting​

Task Not Appearing on Board​

If a task doesn't appear on expected board:

  1. Check the task's business status matches a column condition
  2. Verify no filters are hiding the task
  3. Ensure the task type is included in your filter

Drag-and-Drop Not Working​

If you can't drag tasks:

  1. Ensure you have edit permissions for the task
  2. Check that the target column accepts the task type
  3. Try refreshing the page

Performance with Many Tasks​

For boards with many tasks:

  • Use filters to narrow down the view
  • The board loads tasks in batches of 50 for performance
  • Scroll to load additional tasks
