Financial Reconciliation Report
The Financial Reconciliation Report provides administrators with a comprehensive view of payment transactions across service requests. It tracks payments, refunds, discounts, and exceptions to help you reconcile your financial records and identify issues that need attention.
Accessing the Report
Navigate to Reports > Financial Reconciliation from the main menu. This report is available to Platform Admins and Organization Admins.
Summary Cards
At the top of the report, four summary cards show a quick snapshot of your transaction status:
- Paid -- Number of completed payments
- Pending -- Number of payments awaiting processing
- Failed -- Number of failed payment attempts
- Refunded -- Number of refunded transactions
Filtering Data
Date Range
By default, the report shows the last 30 days of transactions. Use the date picker to select a custom date range.
Payment Status
Filter transactions by status:
- Paid -- Successfully completed payments
- Pending -- Payments in progress or awaiting confirmation
- Failed -- Payment attempts that did not succeed
- Refunded -- Payments that have been returned to the patient
Search
Use the search bar to find specific transactions by patient name, patient ID, or service request ID.
Exceptions Only
Toggle the exceptions filter to show only records with flagged issues (see Exception Detection below).
Report Columns

Click any row to view full transaction details including Stripe payment references, refund history, and discount breakdowns.
Exception Detection
The report automatically flags three types of exceptions:
- Orphaned Stripe Payment -- A payment exists in Stripe but has no matching service request in CareLaunch. This may indicate a data sync issue.
- Completed Without Payment -- A service request was marked as completed but no payment was collected. Review whether payment should have been required.
- Payment Failure -- A payment attempt failed during processing. Check the failure reason in the transaction details and follow up with the patient if needed.
Transaction Details
Click the View Details button on any row to see:
- Payment Information -- Amount, currency, payment method, and transaction date
- Stripe References -- Payment Intent ID, Charge ID, and Checkout Session ID
- Discount Details -- Promotion code, coupon ID, discount percentage, and discount amount
- Refund Information -- Refund status, amount, and date (if applicable)
- Payment Failure Details -- Failure reason and error code (if applicable)
Exporting Data
CSV Export
Click Export CSV to download all filtered transactions as a spreadsheet. The export includes all visible columns plus additional fields like Stripe IDs, original amounts, application fees, and refund details.
SQL Export
Click Export SQL to generate the SQL query used to produce the report. You can:
- Copy the query to your clipboard
- Download it as a
.sqlfile - Run it directly in your data warehouse for deeper analysis or custom reporting
Tips
- Review the report weekly to catch exceptions early, especially orphaned payments and completed requests without payment.
- Use the SQL export to build custom financial reports that combine reconciliation data with other datasets.
- The 30-day default date range keeps the report fast. Extend the range only when you need historical data.
