Duplicate Tasks
This page is about duplicate tasks — multiple copies of the same task on a single patient. It does not find or merge duplicate patient records. To detect and merge duplicate patients, see Duplicate Patient Resolution.
Overview
The Duplicate Tasks tool helps administrators find and clean up patients who have multiple active tasks of the same type. Duplicate tasks can occur through batch imports, automation triggers, or manual data entry. This report makes it easy to identify and remove unnecessary duplicates to keep patient records clean.
Access: Platform Admins and Organization Admins only.
Finding Duplicates
- Navigate to Reports > Duplicate Tasks from the sidebar menu.
- Select a Task Code from the dropdown. This is the type of task you want to scan for duplicates (e.g., "Case Review", "Intake", "Lab Order").
- Optionally filter by Patient Name to narrow results to a specific patient.
- Select which Task Statuses to include. By default, active statuses are selected: Requested, Accepted, In Progress, Ready, Received, On Hold, and Draft.
- Click Scan to search for duplicates.
Understanding the Results
After scanning, the tool displays four summary cards:

| Duplicate Tasks | The number of extra tasks (total minus one per patient) |
| Selected for Deletion | How many tasks you have currently selected to remove |
The results table groups tasks by patient. Each row shows:
- Patient — clickable link to the patient's tasks tab
- Duplicates — how many matching tasks this patient has
- Task ID — the unique task identifier
- Code — the task type
- Status — color-coded status indicator
- Has Questionnaire — whether the task has an associated questionnaire response
- Last Modified — when the task was last updated
Results are sorted by duplicate count (highest first), making it easy to prioritize patients with the most duplicates.
Deleting Duplicates
- Review the tasks for each patient. Compare statuses, questionnaire attachments, and modification dates to decide which tasks to keep.
- Select the tasks you want to remove using the checkboxes. The "Selected for Deletion" counter updates in real time.
- Click Delete Selected.
- Confirm the deletion in the dialog. Deletion is permanent and cannot be undone.
The tool automatically rescans after deletion so you can verify the cleanup.
Deleting a task also removes its related resources, including subtasks, provenance records, and references in communications and observations. Review carefully before deleting, especially tasks with questionnaire responses attached.
Tips
- Check the Has Questionnaire column before deleting. Tasks with completed questionnaire responses may contain patient data worth preserving.
- Compare Last Modified dates to identify which duplicate is the most current.
- Start with a single task code and work through each type systematically rather than scanning everything at once.
- Use the Patient Name filter if you know a specific patient has duplicate issues.
- Tasks in terminal statuses (Completed, Cancelled, Rejected) are excluded by default but can be included by adding them to the status filter.
